Job Title: Executive Administrative Assistant

FLSA Status: Full Time - non-exempt
Reports to: Operations Director

Schedule: FT

Closing Date: 5/1/2024

Rate of Pay: $28.85/hour

Benefits: Standard; Full-Time, Non-Exempt employees are eligible for but not limited to the following:

Scope of Position: Provides organizational support to the Divisional Secretaries for El Paso County and administration which includes business, finance, and development. Also, will work as the lead and trainer to all department administrative assistants to ensure standards are consistent throughout the enterprise.

Essential Functions:

  • Works as a support for the Divisional Secretaries for El Paso County.
  • Process all calls and contacts for the Divisional Secretaries for El Paso County.
  • Composes and writes letters as required/needed, including email correspondence.
  • Receives and processes outgoing and incoming mail specific to the Divisional Secretaries for El Paso County.
  • Manage and organize the Divisional Secretaries 's appointments and calendar.
  • Organize, and set up various meetings for the Divisional Secretaries for El Paso County as directed.
  • Prepare church documents such as memorial folders as requested
  • Send flowers and cards as requested for funerals
  • Assist the Corps Officers and Corps assistants as needed for special projects
  • Will be responsible for all hard copy record retention and shredding of expired files

Advisory Organizations

  • Attend monthly Advisory Board meetings, prepare, and distribute agenda and take minutes
  • Maintain current member roster.
  • Send reminders for all events.
  • Assist with major special events such as fundraisers, and training events.
  • Attend all SAWA meetings and assist as needed.

Office Activities

  • Receive, process, and distribute incoming mail and deliveries.
  • Get mail from the post office lock box.
  • Write letters on behalf of Officers and Operations Director when requested.
  • Send FedEx mail and packages when requested, keep supplies in stock for admin staff and officers.
  • Maintain office equipment-postage meter and copier for 910 Yuma as well.
  • Inventory and order office supplies for 910 Yuma also.
  • Send flowers and or cards for hospitalizations and bereavements for employees, church members and others as requested.

Education and Work Experience:

  • Associate degree or equivalent preferred
  • 5+ years of experience in Administrative Office

Knowledge, Skills, and Abilities Required:

  • Ability to work independently with little or no supervision
  • Ability to maintain a high level of confidentiality
  • Excellent verbal and written communication skills
  • Excellent organizational skills
  • Ability to prioritize
  • Ability to meet deadlines and manage multiple tasks
  • Must be 21 yrs of age and have a Colorado Driver's License

Software-related skills:

  • Microsoft Word and Excel required
  • Will work in Weekdone (for staff) and OnBoard (for Advisory Board)
  • Microsoft Outlook, working knowledge of integrated database applications and ability to use new software programs with basic training.
